Advanced Executive Office Management for Senior Assistants

When a senior executive's office runs on memory, email threads and goodwill, decisions are delayed, papers arrive late and confidential information travels further than it should. This programme gives senior assistants and executive office managers the systems, judgement and working relationships to run the executive office as a reliable, well-governed function that protects the executive's time and the organisation's reputation.

The role of the senior assistant has changed. Many now manage the flow of work into and out of a chief executive, minister, governor or board chair, coordinate other assistants, and handle papers that are commercially or politically sensitive. Yet the office often still works on informal habits: priorities are unclear, the diary is filled by whoever asks first, meeting papers are chased at the last minute, action points are lost, and nobody has agreed which information can be shared with whom. Much of this depends on one person, so it breaks down during absence or a change of executive.

This programme treats the executive office as a small operating unit with its own processes, controls and performance standards. It moves from the partnership with the executive, through time, meeting and information management, to stakeholder handling, protocol and the use of digital and AI tools, and ends with a plan to strengthen the participant's own office.

Built on recognised practice. The programme references ISO 15489-1 on records management concepts and principles, the information classification and handling principles of ISO/IEC 27001, the obligations created by personal data protection laws now in force across the region, and established good practice in meeting governance and minute taking. They are used as practical reference points for how the office handles records and information, not as compliance checklists.

Decisions this programme improves. Which requests reach the executive and which are handled or redirected; how the diary is structured around strategic priorities; what goes into a briefing pack and in what order; when to escalate an issue and to whom; how sensitive documents are classified, shared and retained; and which routine tasks can be automated or delegated safely.

How it is delivered. Twenty hours across five sessions, built around one running case: the office of a newly appointed chief executive in a public entity preparing for a board meeting, a ministerial visit and an international delegation in the same fortnight. Participants redesign the diary rules, build a briefing pack, draft minutes and an action log, and handle a confidential information incident.

In-house option. For organisations, the programme can be tailored to your own executive structure, document management system, correspondence rules and protocol requirements, and delivered to the assistants of a leadership team together so that they adopt common standards and cover for one another reliably.
